It is very easy and useful to create new databases within FAS 50
Asset Accounting and FAS 100 Asset Accounting. A Default database is
automatically installed with the program, so why would you want to
create a new one? Many customers want to spread their companies into
multiple databases for better control and to protect data from
corruption. Also, as you reach year end, you may want to make a
year-end snapshot of your company by copying the company into a new
database. This will make it easier to do year-end reports and support
audits and tax filings without interfering with your production data.
To create a new database in FAS 50 and FAS 100 Asset Accounting, use
the Database List Manager. You can access the Database List Manager by
going to File, and selecting it from the pull-down menu. Alternately,
it can also be accessed by going to File\Open Company. At the lower
right-hand corner of that window there is a pull-down list by
“Database.” The Database List Manager is the final item on the
pull-down list.
Once accessed, this window appears, which is a list of all your databases.

On the right there is a button that is labeled “New Database…” Click the button, and this dialog box will appear:

Several items need to be specified in order to complete this dialog
box. The first is where the database is going to reside. This is shown
in the pull down box that is labeled “Save in.” If you want to save the
database in another location, use the toolbar buttons on the right, or
the folder structure pictured below, to maneuver to the correct
location. Please note that if you use the network version of FAS 100
Asset Accounting, the default location will be on your local
workstation. You will need to change that location to a network drive.
The second item is in the “Physical Database Name:” field. This is
where the file name of the database file is entered. This is the file
name that will appear in the Windows Explorer or My Computer software.
As with any Windows file name, it must be unique within its folder. You
should not enter a file extension, because the application will
automatically add a BDB extension, as indicated in the “Save Type As:”
field. You must accept the default file type the program provides.
Finally, a “Logical Database Name:” must be added in the last field.
The default will be whatever has been entered as the Physical Database
Name, but this can be changed. The logical name is used by FAS, and
must be unique within the FAS system. In the example, there is a
database with a logical database name of “Training.” If I create a new
database, I can not give it a logical database of “Training” unless I
rename or delete the original. In this example I will create a database
with the logical database name of 10_06 FAS TechFlash.
Once all of the fields have been filled in, and the correct location
has been selected, push the button marked “OK.” This will return you
back to the Database List Manager window, with the new database
appearing on the list.

The database is now created and is ready for use.
While users can create databases in the FAS 50 Asset Accounting and
FAS 100 Asset Accounting programs, they can not in the FAS 500 Asset
Accounting program. This is the version of the software that uses
Microsoft SQL Server as the database engine. Database creation in FAS
500 Asset Accounting is handled by the SQL Database Administrator. On
the server, the DB Administrator uses the FAS 500 Database Utility to
create new databases that the users can subsequently access.
Once a database is created you can create companies, restore
backups, or copy companies into it. It creates an easy way to make
additional copies of your data for special uses, such as year-end
reporting, or getting information for audits of previous periods,
without affecting your current production data. This easy database
creation is a good way to maximize the use of your FAS Asset Accounting
program.
