Sage FAS Asset Accounting allows you to globally replace the data in the General Information
fields. These fields contain information such as G/L account numbers, locations, departments, class, and the
data in User Fields. While these fields contain general business information on your assets, they will not affect
the depreciation calculations beyond sorting or grouping. So,if you want to change all of the assets with a GL
Asset Account Number from "100-15100" to "700-15100", this would be the feature to use. Note
that this feature is only available in the Group View.
When performing a global replacement, the first step is to select the assets in which you want to replace the
data. This can be done in one of two ways. If there are not many assets to be changed, simply highlight the
assets in the Group View by clicking on them. If there are too many assets to conveniently do that, create a group
of assets in Group Manager and then select all of them.

Once the assets have been selected, go to Edit/Replace from the menu bar, or
select the "Replace Data" button from the tool bar. The Replace dialog box will then be displayed.

Next, complete the information in this dialog box. In this example, the G/L Asset Account
Number will be changed from 100-15100 to 700-15100 for the appropriate assets. Since the G/L Asset Account
Number is to be changed, hit the pull-down arrow in the "Change" window and select "G/L Asset
Account Number". Type the value that is to be changed into the "From" window. If all of the
selected assets are to be changed, select the "All" check box. Finally, type the value that is to
be inserted into the "To" window. In this example, the completed dialog box looks like this:

Once the Replace Dialog box has been filled in, click the "OK" button. This brings up
a confirmation widow, asking if you really wish to make the proposed change.

If "Yes" is selected, the program tells you how many assets have been changed.

When "OK" is selected, the program returns to the Group View.
These steps can be completed for as many changes as you wish to make. This is a very powerful feature, which
the program does not have the ability to reverse. It is always recommended that you make a backup of your company
to guard against mistakes. If you want to undo the changes, simply restore from the backup.
The Replace Data function gives you a very fast way to make global changes to your General Information
fields for many assets. It is powerful, easy to use, and can make these changes to all the assets that you
wish to select. It's an important time saver if you want to make the same change to
multiple assets.
